Offboarding from ArcTitan
If you are canceling your ArcTitan service, you will need to follow the offboarding steps below before your service deactivation date (i.e. when your renewal expires). Offboarding entails stopping the ingestion of new emails and preparing your archive data for export if desired. As part of our automated system, your portal will also be shut down by our support team and your data deleted. You will not need to log a support ticket for offboarding.
If you change your mind about canceling the service, please reach out to your Account Manager and/or Customer Success Manager.
To disable the archiving service:
Disable the journaling rule
Open the Microsoft Purview compliance portal and go to Solutions → Data lifecycle management → Exchange (legacy) → Journal rules. Select the ArcTitan rule and disable or delete it. This stops new emails from being copied into ArcTitan. The existing archive will not be affected.

Change the NDR email address
If a non-delivery report (NDR) email address was set up on your mail server using the email address from the archive, this must be removed or replaced with a different email address.
To do this, open the Microsoft Purview compliance portal and go to Solutions → Data lifecycle management → Exchange (legacy). In the field Send undeliverable journal reports to, remove the ArcTitan-related email address or enter a different address.
Remove Mailbox Reader (if used)
Mailbox Reader is typically only used during onboarding and not active in normal operation. However, if you still have this configured, you will need to remove it from your connections. To do this, go to Mailbox Reader → Connection Settings in ArcTitan and delete the applicable connection under Existing Connections.
After completing these steps, emails will stop being archived. At this point, you will also need to complete the following offboarding steps:
Export your data (optional)
When your portal is deactivated, you will no longer have access to your archived data. If you want to retain this data, you will need to export it.
Note: If you do not want to export your data until you have moved your journal connector/s away from ArcTitan, ensure that this is done and the associated export is completed ahead of your renewal anniversary. If you are likely to need more time to export data after your account expiry, you must discuss this with your Account Manager, as there will be a cost associated with maintaining access to your archive while you complete your data export.
You can request a full archive export through your Account Manager. This is typically delivered as bulk email data (EML), stored in an S3 bucket for download.
Alternatively, you can manually export your data through the system.
Revoke ArcTitan's access to your environment
If you have added the ArcTitan application in your Microsoft or Google Workspace environment, you will need to remove it.
Microsoft:
In the Entra admin center, under Enterprise applications, search for "ArcTitan". Open the entry and click on Delete.

Go to Apps → Google Workspace Marketplace apps → Apps list. From the Domain Installed Apps list, open "ArcTitan" and click on Uninstall App.

Agree to data deletion
Confirm in writing to your Account Manager that you understand your data will be deleted when your contract with us expires.
